Cancel or Reschedule a Tokyo Sushi Class
Tokyo itineraries change. A flight moves, someone in the group gets sick, or the day that looked easy becomes too crowded. The important thing is to know whether you want to cancel, move the reservation to another date, or simply check whether a request has been confirmed. Those are different actions.
For our signature sushi and matcha class in Asakusa, cancellation is free until 24 hours before the scheduled class. A date change is also free when you notify us at least 24 hours before the original start time. Within 24 hours, cancellations are charged in full, and no-shows are not refundable.

First decide: cancel or reschedule?
Cancel when the group will no longer attend and you do not want another date. Reschedule when you still want the class but need to move it. If you are rescheduling, the deadline is measured from the original class start, not from the new date you hope to choose.
Contact us as soon as the change is likely. Waiting until the final hour reduces the chance of finding another session that fits your trip, even when your message arrives before the policy deadline. A new date also depends on actual availability for your party size; it is not guaranteed just because the change itself has no fee.
If you are still choosing when to reserve, read our guide to booking a sushi class in advance or checking the same day. This article starts after you already have a booking or request.
How the 24-hour boundary works
Use the local scheduled start time in Tokyo. If your class starts at 10:00 on Friday, the free-change window ends at 10:00 on Thursday. Give yourself extra time for email delivery, time-zone confusion and group decisions rather than aiming for the exact minute.
The current customer terms are straightforward:
- more than 24 hours before the class: cancellation is free;
- at least 24 hours before the original class: rescheduling is free, subject to a new available session;
- within 24 hours: cancellation carries a 100% charge; and
- failure to attend without notice: no refund.
Read the terms shown in your own checkout and confirmation as well. This guide explains the current direct-booking policy, but the documents attached to your reservation are the record for that purchase.
What to include in your message
Send enough detail for the team to find the booking without a long exchange:
- the booking name;
- booking or confirmation number, if shown;
- original date and start time;
- number of participants;
- whether you want to cancel or move the reservation;
- two or three possible replacement dates if rescheduling; and
- any dietary or accessibility arrangements that must carry over.
Use the email address or contact route in your confirmation. The site lists info@sushi-matcha.com, and the contact page is available if you need to explain a change. Do not publish payment details or sensitive information in a public message.
A booking request is not the same as a confirmed seat
Some products confirm immediately, while others are received as a request and require an availability check. If your message says the booking is still being reviewed, do not treat it as a confirmed appointment or cancel another plan yet.
Our guide to instant confirmation versus request booking explains that distinction. When contacting the team, state what your email currently says—confirmed, requested or pending—so the right record can be checked.
Changing the date does not turn a request product into instant confirmation. The replacement session still follows that product's normal confirmation process.
When one person in a group cannot attend
Do not assume that removing one guest is identical to cancelling the entire booking. Ask the team to confirm what can be changed on the reservation and how the policy applies before the deadline.
This is especially important when a product has a minimum group size or is private. Reducing the group could affect eligibility or price structure. For a shared signature class, it is still better for the lead booker to send one clear message than for several guests to contact the studio separately.
If you organized one reservation for friends, revisit the group booking checklist and keep the lead booker responsible for updates. That prevents conflicting instructions.
Travel disruption and same-day problems
If a train delay, illness or other issue happens inside the 24-hour window, contact the team immediately. The published late-cancellation and no-show rules still apply; contacting us does not promise an exception. It does, however, tell the studio what is happening and avoids leaving an empty workstation unexplained.
Do not make a rushed trip through unfamiliar streets if it is unsafe. Send the booking details and your realistic arrival information. If you are only running late rather than missing the class, say that directly.
Travel insurance may cover certain disruptions, depending on your own policy. Keep your confirmation and any written cancellation response if you plan to make a claim. Sushi Matcha cannot interpret an insurer's coverage for you.
If the class cannot run on our side
When the class cannot be provided because of an issue on our side, such as an instructor or facility problem, the published terms offer a full refund or a move to another available date at no additional charge. That situation is separate from a customer cancelling within 24 hours.
The team will contact the booking details on record, which is another reason to use an email address you can check while travelling.
A calm change-of-plan checklist
- Check the original Tokyo start time and calculate the 24-hour deadline.
- Find the confirmation number and current booking status.
- Decide whether you are cancelling or requesting another date.
- If moving, check which other days could work for the whole party.
- Send one complete message through the confirmation email route or contact page.
- Wait for written confirmation before assuming the booking has changed.
- Update everyone in the group only after the new status is clear.
If your trip is still flexible, review live dates on the signature class page before suggesting alternatives. Availability can change, so the team must still confirm the revised booking. The best protection is simple: read the terms, act before the deadline, and keep the final confirmation.
